Time (Actual meeting time): Date: Venue (Place of the meeting): Minutes taken/recorded/writen by: (Minutes of the Meeting taken by Secretary with his/her name). Minutes are usually recorded by secretary. Members Present (Attendees): Apologies from absentees: Members absent: Guests: Meeting Minutes (Minutes of the meeting / Transcribing Minutes) Record the motions made and the names of people who originate them. Transcribe minutes soon after the meeting, when your memory of the event is still fresh. Record whether motions are adopted or rejected, how the vote is taken (by show of hands, voice or other method) and whether the vote is unanimous. For small meetings, write the names of the attendees who approve, oppose and abstain from each motion. Do not try to make a note of every point or discussion made at the meeting. Meeting minutes are not an exact copy of every word said. Only the important decisions and agreements need to be recorded. Remember to note the name of each person who makes a motion or agenda. These names must be included in the meeting minutes. Distribute the minutes to all the group members by email or in person. Motion: A formal proposal put to a legislature or committee. (Make a proposal). Transcribe: Put (thoughts, speech, or data) into written or printed form. The minutes should begin with the place that the meeting is held and the date of the meeting. The time of the meeting should also be recorded, along with the name of the organisation or association. Note: Minutes writer secretary should sit beside the chairman/chairperson for convenient clarification or help as the meeting proceeds. |
